Q: How to Create a New Inventory Out Transaction?


A: From the Inventory Logbook, click on New Inventory Out link or access from Transaction History page. In this page you can dispense inventory of one or many items with the same reference number. Select reference date, reference number, enter the total quantity out for that reference number and CSOS/Form No. if dispensing a controlled substance to another DEA registrant. Now you can start to enter the drug products dispensed by either searching by Drug Name or NDC code. If the drug product is not showing, you must first add it before it is searchable in your product database.


After selecting the drug product, you will see a field to enter quantity out for this transaction. You can enter a quantity that is less than or equal to the total quantity out entered earlier next to reference number. The quantity on hand for that particular drug is automatcially updated and cannot be negative. Enter any comments for this transaction and click "add." The transaction will be shown in the transaction summary screen. If you enter a quantity out that is less than total quantity out, you will be required to select another drug(s) for the difference. This can be seen by the total remaining in the transaction summary table at the bottom of the inventory out page. Proceed to save the transaction by clicking "save."


If you have lot tracking enabled, you must enter lot details of the product you are dispensing. Select from existing lots and quantity available. If you don't see a particular lot, open the drug details in a separate window, navigate to lot tab and search the lot. You may be required to add inventory via new inventory in transaction or audit to update lot quantity. Multiple lots can be selected for an out transaction, however, total lot quantity out must match the total quantity out for the reference number. If both match and quantity remaining is zero, you can add this transaction to the summary table. Comments are optional and can be included. Proceed to save the transaction by clicking "save."
